Start with how customers reach your business.
A phone-system change is more than replacing handsets. Your main number, direct lines, voicemail, opening hours, and the path an incoming call takes all need a plan. So do any less obvious services attached to the current account.
This checklist is for Battle Creek and Southwest Michigan businesses considering a change, including a move to RingCentral with local BCIT setup and support. It helps you prepare without assuming every number or device can transfer unchanged.
Do not cancel the old phone account just because the new service has been ordered. Number transfers depend on eligibility, matching account information, and provider processing. Confirm the sequence before making a cancellation request.
List every number and what it does.
- Your main published business number, direct numbers, and any toll-free numbers.
- Which person, department, device, or service uses each number.
- Numbers used for fax, door entry, alarms, payment equipment, or other specialist services.
- Where numbers appear publicly, including your website, directory listings, signs, and printed materials.
- The current account holder, provider, account details, and an authorized decision-maker.
Use an appropriate private channel for bills and account information. Do not place account PINs, passwords, or customer information in a website contact form.
Check the less visible dependencies.
An alarm line or other specialist device may need a different arrangement from ordinary business calling. Do not disconnect it because it looks like an unused extension. Identify the purpose and confirm requirements with the responsible service provider before changing it.
Describe what should happen when someone calls.
Write the route in plain language. For example: the main number rings the front desk during opening hours, offers appropriate menu choices, and follows an agreed fallback if no one answers. The exact design should fit the people who answer the calls.
- Who answers during normal hours, and who acts as backup?
- Do you need a menu, a shared answering group, or direct extensions?
- What happens during lunch, holidays, and when everyone is busy?
- Who checks each voicemail box, and who covers absences?
- Which staff need desk phones, computer calling, or mobile access?
- Are there accessibility or language needs to consider?
BCIT handles call-flow design, setup, and staff training. A simpler route that gets callers to the right person is often more useful than a long menu nobody enjoys navigating.
Check the network, equipment, and account commitments.
Cloud calling depends on the connection and equipment people use. Review internet reliability, the local network, power, headsets, and compatible phones. Existing handsets may be usable, but compatibility should be confirmed before treating them as part of the new setup.
BCIT can look at the network supporting your phone system. Discuss what the business should do during an internet or power outage and which options fit the proposed configuration.
- Check current renewal dates, cancellation terms, and any equipment obligations.
- Confirm the numbers to transfer and check transfer eligibility.
- Prepare accurate account records and the required authorization.
- Confirm user roles, devices, licenses, and administrative responsibilities.
- Agree the transition sequence, communications, and contingency approach.
Our role includes number-port coordination. We cannot guarantee another provider's processing time or promise a fixed transfer date before the requirements are confirmed.
Prepare staff, then verify the real calling experience.
Give staff a chance to understand answering, transferring, voicemail, and the devices they will use. Identify who at your business will make decisions during the change and tell employees where to get help.
The agreed verification should reflect the actual setup. Useful checks to discuss include incoming and outgoing calls, caller ID, transfers, menus, voicemail, opening-hour behavior, and supported mobile or computer apps. Confirm that specialist lines and services have the arrangements they need.
Only after the transfer is confirmed and the remaining services are understood should you decide what to cancel with the old provider. Keep the account records and documentation accessible to authorized people. BCIT provides ongoing support for the agreed phone setup, not just an installation and a goodbye.
This is a preparation checklist, not a promise of zero interruption or a substitute for the requirements of your specific phone service.
Business phone switching questions
Can we keep our current business number?
Often, but it must be checked. Eligibility, number type, location, and accurate account information affect a transfer. BCIT coordinates the porting process and explains what information and authorization you need to provide. Keep the current service active until the transfer is complete and verified.
Do we have to replace every phone?
Not automatically. We check the make, model, configuration, and compatibility of existing equipment against the proposed service. Some staff may prefer a supported computer or mobile app with a suitable headset. The equipment plan should match the work, not assume every desk needs the same device.
Will BCIT train our staff and support us afterward?
Yes. BCIT handles call-flow design, number-port coordination, setup, staff training, and ongoing support for the agreed RingCentral deployment. We plan the responsibilities with your business so you know what your team needs to provide and where to get help.
When should we stay with our current phone provider?
If calls reach the right people, the system meets your needs, and the service and cost make sense, a change may not be necessary. Consider switching when there is a concrete problem to solve, such as unsuitable call routing, difficult remote access, or an aging setup. Start with the need rather than a feature list.
